Page Order for Confluence

FAQ

The questions that come up before, during and after a save.

v3.3.0 — Latest Runs on Atlassian Atlassian Forge Confluence Cloud

Setting it up

Is there anything to configure after installing?

No. The app has no settings screen and adds no admin page to Confluence. What each person can do with it is decided entirely by the Confluence permissions they already have — see the Admin guide.

Who can use it once it is installed?

Everyone on the site can open it and see the pages they could already see. Changing the order in a space needs Space admin, or Manage all content on sites that use space roles — the same as Confluence’s own Move. Without either, the app shows the order but won’t let you change it.

Can I restrict it to certain spaces?

Not from inside the app, because there is nothing to configure. Confluence’s own permissions are the control: someone without Space admin or Manage all content in a space can’t change anything there with the app either.

Will it slow my Confluence site down?

It runs on Atlassian’s own infrastructure and only does anything while someone has it open. It adds no background jobs and no triggers — just three entries: Organize Child Pages in the page menu, Page Order in each space’s sidebar, and Page Order for Confluence under Apps.

Does it work on Confluence Server or Data Center?

No. It is built on Atlassian Forge, which is Cloud only.

Where do I open it from?

Three places: Organize Child Pages in any page’s ••• menu, Page Order in a space’s sidebar, or Page Order for Confluence under Apps — see Where to open it.

Sorting and moving

Which sorts are there?

Five: A to Z and Z to A by title, Newest first and Oldest first by date created, and Recently updated first by last update. Sort numbers by value is on to start with, so titles sort 2, 9, 10 rather than 10, 2, 9; untick it to sort by letters only.

Can I sort only some of the pages?

Yes. Select two or more pages and Sort all becomes Sort N selected. Only those pages are sorted, in the places they already held; every other page stays where it is.

Can I sort every level below a page?

Yes. In the Sort all menu, tick Include every level below. When you save, every parent beneath is sorted the same way, up to 500 parents per sort. Past that the result says where to carry on: Stopped after 500 parents; open a page further down and sort from there for the rest.

Do child pages move with their parent?

Yes, always, as they do in Confluence. Dragging a page into another page, dropping it on the page tree or using Move to… takes everything beneath it along. Reordering pages under the same parent doesn’t change what is beneath any of them.

Can I move pages to another space?

Yes, with Move to…: choose any space you can see, then the page to put them under (or the top level of that space), and whether they go First or Last. If a title is already used in that space, the app asks first: Rename and move, to a free title such as “Travel (1)” like the one Confluence’s own Move suggests, or Leave it out.

What about folders, whiteboards and databases?

They share the page tree with pages, so they appear in the list and can be reordered and moved like pages. Pages and folders can also take other pages into them. Date sorts put whiteboards, databases and Smart links last, because the app doesn’t read their dates.

How many pages can I move at once?

Up to 1,000 page moves per save, every one listed before you save. Include every level below is limited by parents instead (up to 500), because its moves are worked out while saving. The list itself isn’t capped: a parent with thousands of child pages loads in full. A rearrangement that needs more than 1,000 moves saves the first 1,000 and tells you to Sort again and save to finish. More than 1,000 pages moving to new parents can’t be saved until you cancel some with × and move them in a second save. See Limits.

Why does a page say “Too big to move out”?

It has more than 1,000 items beneath it, and Confluence can’t move a page like that at all — not even with its own Move — so it can’t go into another page or space. You can still drag it up or down among its siblings; the pages around it move instead. Two pages like that can’t swap places, so they keep their current order and everything else is arranged around them. To move one out, move some of its child pages out first.

Can I change several parents in one save?

Yes. Changes stay staged while you open other parents, and Save changes saves them all, up to 100 parents in one save. Past that, the app asks you to save some of the changes first, then the rest.

Saving

When does anything change in Confluence?

Only when you press Save changes. Sorting, dragging and Move to… stage changes in the Unsaved changes panel. Discard drops them all, and × on a move cancels just that one.

Can I undo a save?

No — and Confluence can’t undo a move either. That is why the panel shows exactly what a save will do first: each change opens to list its pages, and a parent whose order changes shows each page’s old and new position. To put pages back, sort or move them again and save.

What if I close the tab while it’s saving?

The save stops there. A save runs only while its tab is open, and the panel says so while it works: Moving a lot of pages can take a few minutes. Keep this tab open until it’s done; closing it stops the save. Pages already moved stay moved. Open the organizer again and the list shows the order as it is now; sort or move again and save, and only what is still out of place moves.

How long does a save take?

Each page is moved with its own call to Confluence, so the time grows with the number of moves: a short list saves in seconds, and hundreds of moves take a few minutes. The panel counts the moves as they go.

What if someone else changes the pages while I’m working?

Before saving, the app reads again every parent you opened that the save will change. If any of them changed since you opened it, nothing is saved: These pages changed since you opened them, so nothing was saved. Load the latest order drops your unsaved changes and shows the order as it is now, so you can make them again on top of it.

What if some pages can’t be moved?

The rest still save. Each page is moved on its own, so one refusal never stops the others, and the result names the pages that didn’t move and says why — usually a page restriction, a missing permission, or more than 1,000 items beneath the page.

Does moving a page change its last-updated date?

No. A move doesn’t make a new version of the page, so Recently updated first still reflects real edits. Renaming a page to clear a title clash does make a new version, like any rename.

Does the new order show in Confluence’s page tree?

Yes. The app keeps no order of its own — it moves the pages in Confluence, so Confluence’s page tree shows the saved order to everyone who can see those pages.

Will pages added later be sorted too?

No. The app changes the order only when someone saves. A page created later goes wherever Confluence puts it, until someone sorts that parent again.

Licensing and purchasing

What does it cost?

Free for teams of 10 users or fewer. Above that it is billed per user through the Atlassian Marketplace on graduated tiers: $0.70 per user a month for the first 100 users, and less for each user beyond that. The pricing calculator on the product page shows the estimate for your user count.

Do I need a DataPingo account?

No. Billing is Atlassian’s and lands on your existing Atlassian invoice. There is no separate account to create and no payment detail to enter with us.

Is the free tier a trial?

No. Sites with 10 users or fewer are free on an ongoing basis, not for a limited period. From 11 users, every user is billed.

What happens if the subscription lapses?

The app says so as soon as it opens, before you have arranged anything, and asks a Confluence admin to start a trial or subscribe from Manage apps. Pages already saved are unaffected — their order is Confluence’s own.

Privacy and security

Where does my data go?

Nowhere outside Atlassian. The app runs entirely on Atlassian infrastructure with no external egress declared, which is what the Runs on Atlassian badge certifies. Nothing reaches a DataPingo server.

What does the app store?

Nothing. It has no app storage, no database and no background jobs; it reads page titles, parents and dates as you, while you use it. The only thing kept is a setting in your own browser: whether the page tree is shown.

What permissions does it ask for?

Seven, and nothing else: move pages, rename a page whose title is taken where it is going, read the page tree’s order, read pages, folders and spaces, and search. See the Admin guide for what each one is for.

Who makes the changes — me or the app?

You do. Every move and rename is made with your own account, so Confluence applies your own permissions, exactly as if you had moved the pages by hand.

Can the app show someone pages they can’t normally see?

No. It acts as the person using it, so it can only list, open and move pages that person could already reach. A restricted page they can’t view never appears.

What happens when I uninstall?

Nothing needs deleting, because the app stored nothing. Pages stay where the last save put them, as ordinary Confluence pages in Confluence’s own order.
